How do approvals work?

Can we approve purchases before or after they happen?

Both! You can require approval before a purchase is made, review expenses after they happen, or use a mix of both. Choose whatever fits your organization's policies.

Can approvals be set up by role or department?

Yes. You decide who reviews what, based on:

  • User role

  • Department or ministry

  • Transaction amount

  • Spending category

For example, you might route purchases to a department head, executive pastor, or finance director, whatever matches your real leadership structure.

Does every purchase need approval?

Not at all. You can require approval only for certain purchases or for anything over a set amount, so everyday spending keeps moving while bigger purchases get a second look.

How do approvers know something needs their attention?

Requests are automatically routed to the right reviewer, and approvers get notifications so they can respond quickly. Staff never have to guess who should sign off.

Is there a record of who approved what?

Yes. Every approval is recorded and tied to the transaction, so your finance team can always see who approved an expense and when. That approval history is stored right alongside receipts, which makes audits and board reviews much simpler.
